How Deda Tech Unified Sales, IT and Security to Enhance Efficiency and Drive Growth

Modernising to meet growing business needs

The company’s reputation as a cybersecurity and IT provider across Italy demands operational excellence. However, reliance on a highly customised service management platform to support critical business and IT operations was slowing its growth.

Deda Tech used Cherwell to manage sales workflows, project portfolio management and internal operational processes across departments. However, as the company grew, the time required to make changes to the platform began to impact its drive toward agility. Adding new features or adapting workflows often required additional layers of technology or extensive customization, making even simple changes time-consuming and inefficient. Creating or modifying a workflow, for example, could take up to five hours. The company also saw delays and inconsistencies in offer management and project initiation as a result of disconnected tools and manual workflows that led to fragmentation between sales and IT teams.

Before, we had to enter the data manually, which led to potential transcription errors and omissions. Now, thanks to the platform, we have the data at our disposal in just a few clicks, and everything is much quicker and more efficient.

Furthermore, as Deda Tech moved toward remote work and more agile operations, they needed web-based tools rather than client installation for improved flexibility.

With Cherwell approaching end-of-life, Deda Tech decided to find an alternative solution to reduce the time spent on customization and improve agility that could scale with the company’s evolving needs.

Every time we needed to introduce new processes, it involved creating complex layers on top of the existing system. Over time, this made the platform heavy and less adaptable to our needs.

Rethinking the platform approach with Ivanti

Rather than simply replace the old system, Deda Tech partnered with Ivanti and Sysaround, an Ivanti partner, to rethink its approach entirely. Together, they identified Ivanti Neurons for ITSM as the ideal platform to meet Deda Tech's requirements. Offering the flexibility to span both IT and business functions, Neurons for ITSM would allow Deda Tech to standardise, simplify and scale its processes, starting with the company's vital sales workflows. Sysaround played a key role in the project’s success, working with Deda Tech to support the migration to Ivanti and redesign critical business processes.

Building a foundation for growth

The initial phase prioritised sales workflow modernization. This included standardising and simplifying approval processes, helping ensure consistency and compliance. By integrating new workflows on a single platform, Deda Tech eliminated many manual processes and created a more agile environment, using Ivanti Neurons to tackle specific challenges and support broader operational goals. From intake to service delivery, traceability and compliance are now built into Deda Tech’s end-to-end processes. This has helped the company achieve its ambitions to support scalable growth and ensure ITIL-aligned governance and responsiveness across all business functions.

Now, thanks to a series of steps, we can count on a process that is easy to interpret, with tasks and automations that allow everyone involved to drastically reduce time, have a clear vision of objectives and be able to fully exploit the potential of a tool created in the image of the sales team. And the results are showing.

Early signs suggest that significant savings will be made: Over 11,000 Euro per month on the sales force, compared to the manual process.

Today, all business areas use the platform and its data. It’s a fundamental change for us.

Achieving company-wide benefits

Today, Deda Tech is realising the clear benefits. With Ivanti, workflows are now streamlined and easily modifiable.

Workflows have been fully standardised, improving compliance and ensuring consistent, efficient execution. This has significantly accelerated approvals and simplified daily operations for employees. The unification of IT and business processes on a single platform has also strengthened cross-departmental collaboration, reduced silos, and enabled faster, more informed decision-making across the business.

Meanwhile, end users now benefit from a more intuitive, reliable experience without the inconsistencies and manual steps that once slowed them down.

Deda Tech’s security posture has also improved through tighter integration between IT and Cybersecurity teams using a shared language and common tools. Ivanti has enabled the company to structure a clear Cybersecurity process directly linked to asset, incident and change management. This gives them greater control over the lifecycle of critical elements, proactive vulnerability management and better alignment with audit and certification requirements, such as ISO 27001 and 20000.

We needed a platform that made achieving our goals easier. It was possible before, but it required enormous effort. Now, with Ivanti, everything is easier, and new opportunities are opening up for our business.
